We are the controller of the personal data described in this policy.

We collect only what we need to arrange and run your experience.

You give us

• Your name, email address and phone or WhatsApp number
• Your preferred date, group size and the experience you are interested in
• Anything you choose to tell us in the message field — mobility needs, an occasion you are marking. When you book an experience that includes a meal, we also ask whether anyone in your group has a food allergy or dietary need

Collected automatically

• Pages you visited on this site and how you reached it — counted by Cloudflare Web Analytics, which does not use cookies
• Your browser, device type and approximate region, from your IP address
• If you accept analytics cookies: how you used the site and which of our advertisements brought you, through Google Analytics

We do not ask for, and do not want, your payment card details. Payments are handled by the booking platform, which we describe in section 05.

• To answer your enquiry and arrange the experience
• To tell you about a change — weather, a performer’s illness, a venue issue
• To meet a legal or accounting obligation, such as keeping records of a sale
• To understand which pages people read, so we can improve them, and — if you accept analytics cookies — to see which of our advertisements bring visitors

We do not use your data to build a profile of you, and we do not make automated decisions about you.

If you tell us about an allergy, a medical condition or a mobility need, we treat it as sensitive. We pass it only to the chef, guide or venue who needs it to keep you safe, and we never use it for anything else. It stays inside your booking record, which we keep for the period in section 07. Ask us and we will delete it.

We share the minimum needed, with the parties below.

• Venues, chefs, okiya and guides — your first name, group size and any need that affects the arrangement
• Our booking and payment platform, Bokun — it handles the transaction and holds your payment details. We never see your full card number
• Our email and file storage providers — they hold the correspondence
• Cloudflare, which hosts this website and counts visits without cookies; and Google, for analytics and to measure our advertising — only if you accept analytics cookies
• A public authority — only where the law requires it

We do not sell your data, and we do not share it for anyone else’s marketing.

Our email, storage, booking, hosting and analytics providers operate servers outside Japan, so your data may be processed abroad. We use providers that commit to protections comparable to those required under Japanese law.

• Enquiries that do not lead to a booking — 12 months
• Booking records — 7 years, to meet accounting and tax requirements
• Sensitive information — kept inside the booking record it belongs to, for the same period. Ask us and we will delete it sooner
• Website analytics — up to 14 months, and not linked to your name
• Job applications — 12 months after you apply, unless you join us

You may ask us to show you the data we hold about you, correct it, delete it, or stop using it. Write to us through the form on this website and we will respond within 30 days. If we cannot do what you ask, we will tell you why.

If you are in the EU or the UK, you also have the right to receive your data in a portable form and to object to processing.

Complaints

If you are unhappy with how we have handled your data, tell us first through the form on this website and we will look into it.

If you are still not satisfied, you may complain to the Personal Information Protection Commission of Japan, the supervisory authority for personal data in Japan. Guests in the EU or the UK may instead complain to their own national data protection authority.

Essential. We store your cookie choice. When you open a booking calendar, our booking system, Bokun, sets a cookie to keep your selection. These are needed for the site to work.

Analytics. We count visits with Cloudflare Web Analytics, which does not use cookies. Only if you choose Accept do we also use Google Analytics, which sets cookies to show us which pages and advertisements bring visitors.

Maps. Google Maps on our pages loads only after you choose Accept. When you open the booking calendar, Bokun loads Google Maps components. Google sets its own cookies, under its own privacy policy.

You can change your choice at any time with Cookie settings at the foot of every page, or refuse cookies in your browser settings; the site will still work.

If you apply to work with us, we use the details you give in your application — contact details, where you live, your guiding experience, language skills and availability, and anything else you choose to add, such as your nationality or a short introduction — only to consider it. They are read only by the people who decide on hiring, and kept for 12 months after you apply, unless you join us. Ask us and we will delete them sooner.

If we change this policy we will update the date at the top of this page. If the change is significant, we will say so on the site.
